Southern California Edison, a dynamic organization with over 20,000 employees, faces a significant challenge in managing content at the enterprise level. Despite early adoption of Microsoft SharePoint and the subsequent productivity gains from M365 collaboration tools, issues with content and records management have emerged. Like many other early adopters of Microsoft SharePoint, they experienced the SharePoint sprawl, and the challenge for site structures to adapt with the frequent organizational changes. These led to further data duplication, data hoarding and over sharing of data.

Solution

Teaming up with General Networks’ Intelligent Information Management team, Southern California Edison (SCE) deployed the complete IIM Content Management toolkit. This initiative equipped the IT and IG teams with the necessary tools to tackle Content Management challenges in SharePoint. A strategic approach was taken to cleanse, classify, and organize content for lifecycle management, particularly for organizations holding critical business data. An ECM program was established to guide different organizational units in implementing the ECM strategy, empowering management to maintain full control over their content.

Results

Over the course of four waves, over 50 organizational groups managing critical data successfully adopted ECM controls. These groups’ data is now meticulously monitored for effective content lifecycle management. The data now resides in well-structured sites designed to enhance permission management, thus preventing unnecessary sharing. This marks a crucial initial step for them to fully exploit the emerging features of M365 and Co-pilot, free from concerns regarding content accuracy and inadequate permission controls.
